National Executive Assistant - Broward College - Davie, FL

Under limited supervision of the National Principal Investigator the purpose of the job is to provide and oversee a diverse range of support activities supporting the services for the National Principal Investigator. This position requires specialized knowledge and comprehensive administrative, organizational, and operational skills. Employees in this classification are responsible for participating in operational planning and coordinating the development and administration of departmental operating policies and procedures. Composes and/or assists in the development of documents. Serves as an administrative liaison with internal departments and outside agencies, as required. Performs related work as directed.

This grant funded position ends September 30, 2017.


Minimum Education:
Associate degree from an accredited college required. Bachelor’s degree preferred.

An equivalent combination of experience and education may be considered.


Minimum Experience/Training:
Five years of administrative, office management, or related experience required.

Preferred experience in higher education or government environment.


Knowledge, Skills, Abilities:
Advance customer service skills and computer literate with demonstrated proficiency in Microsoft Word, Excel and PowerPoint. Preferred knowledge in financial management software system and a publishing software. Easily navigates the Internet; performs searches

Trains and coordinates work of lower-level, office support staff, student employees, and/or temporary staff

Ability to multi-task and oversee multiple initiatives and projects for the department/unit

Requires general understanding of own work and how it impacts operations outside own work unit.

Ability to recognize needs of unit and how it impacts other areas at College and understand own role relative to all areas.

Excellent interpersonal and communication skills in order to represent the work area and the larger Broward community.


Essential Functions:
Plans and coordinates complex administrative assignments and special projects within and/or across operating units; gathers, organizes, and assesses information, and develops and prepares recommendations.


Assists in the development and administration of operating policies for the unit; reviews and interprets applicable college, local, state, and federal regulations; coordinates compliance with applicable rules, regulations, and policies.


Monitors and coordinates accounting activities as appropriate, and prepares internal reports for management; participates in budget planning and management, as required; may coordinate and administer the purchasing of supplies and/or equipment for the unit.


Develops and prepares special management studies, surveys, statistics, and a variety of other

Develops and implements systems to maintain records on employees, equipment inventories, and compliance activities.

Assists in or contribute to the planning, coordination, development, and implementation of long-range goals and objectives; participates in various committees and professional organizations as appropriate to the unit of assignment.


Responds to internal inquiries regarding college administrative policies, procedures, and practices.
