Records Retention Technician I - Brevard Public Schools - Community Relations - Viera, FL


PRIMARY FUNCTIONS
To record and store student and business records in an electronic form for present and future use. To provide transcript information to former students and others as authorized in a timely, professional manner.


QUALIFICATIONS
1. High School Diploma or equivalent or special diploma required.
2. Two (2) years’ experience with personal computers in an office environment.
3. One (1) year experience working with microfilm or document imaging equipment.
4. Two (2) years’ experience in customer service within an office environment.
5. Valid Florida Driver License.


KNOWLEDGE, SKILLS, & ABILITIES
Demonstrated knowledge of personal computers; ability to learn and operate sophisticated machines related to records imaging. Ability to meet the public and deal with people in a courteous and professional manner. Physical ability to work in a seated position for extended periods of time doing repetitive work. Ability to learn about, use, and operate a variety of imaging equipment and software.


Transcripts
Must be very knowledgeable about data contained on transcripts. Full knowledge of multiple methods employed by the school district for archival of student records. Ability to locate transcripts in a timely manner from multiple retention methods in use.


Public Records
Processes public records, subpoena’s, records disposition retention, social security disability determination and high school transcript requests.


  • Knowledge of Florida State Statute Chapter 119 Public Records law preferred.

  • Receives and coordinates all requests for District’s public records/documents and distributes to applicable individuals, schools, and departments.

  • Ensures compliance with policies and procedures in accordance with all applicable statutes and regulations affecting the inspection, duplication and distribution of public records.

  • Provides guidance and assistance to district staff and department record custodians, in coordinating the collection and compilation of information in response to records requests.

  • Monitors the response time of records request to ensure compliance with Florida Statutes.

  • Drafts correspondence required to research requests; collects documents and responds to information and public records requests.

  • Maintains accurate file system of all records requests and responses through HEAT database and collects funds received for public records.

Administrative


  • Assist and help with inter-department and individual projects.

  • Acts as a back-up for Administrative Secretary by covering phones and clerical duties.

  • Provides outstanding customer service and uses positive interpersonal communications skills.

PHYSICAL REQUIREMENT
Medium Work: Exerts up to 50 pounds of force occasionally, and/or up to 20 pounds of force frequently, and/or up to 10 pounds of force constantly to lift, carry, push, pull or move objects.
