United States of America: Program Assistant, U.S. Programs


HIAS seeks a Program Assistant to provide programmatic and administrative support to HIAS’ U.S. Programs team, working on federally-funded grant programs, including Reception and Placement; Matching Grant; Preferred Communities; and other programs as needed. S/he coordinates the day-to-day operational proceedings of U.S. Programs and ensures that the U.S. Programs team has the administrative support needed to perform effectively and efficiently.


Essential Functions:


  • Providing administrative and programmatic support to all areas of U.S. Programs.

  • Managing the U.S. Programs department calendar, including the scheduling of trainings, webinars, meetings, travel, conferences, monitoring (both on-site visits and desk monitoring), etc.

  • Organizing training activities and assisting with logistics, including The National Refugee Resettlement Conference, departmental meetings; Coordinating with the Office Manager on room and AV equipment set up.

  • Ordering supplies, coordinating registration, venue selection, catering, and providing on-site support as needed.

  • Assisting Program Managers in the design and dissemination of materials, presentations, infographics, program invitations and other materials as needed.

  • Compiling, editing and proofreading meeting notes, reports, proposals and other documents.

  • Disseminating information through email and internal memos.

  • Maintaining and updating affiliate contact lists and other departmental contact lists.

  • Assisting the Program Analyst with data entry as needed.

  • Compiling content for U.S. Programs on the HIAS website as needed.

  • Preparing regular information updates regarding U.S. Programs, including distributing HIAS affiliated newsletter, promising practices and lessons learned, to local affiliates.

  • Assisting in the recruitment, training, and supervision of Refugee Resettlement Interns as needed.

  • Other responsibilities related to refugee resettlement as assigned.

Qualifications and Requirements:


  • Undergraduate degree with 1-2 years of relevant work experience.

  • Highly organized, detail-oriented, and able to multitask.

  • Experience working with people from diverse cultural backgrounds.

  • Excellent writing and research skills.

  • Proficiency in Microsoft Office applications, especially Excel, PowerPoint, and Publishers; knowledge of “Prezi” and “gotowebinar” preferred.

  • Strong interest in resettlement, international development, and non-profit work.

  • Bilingual in Spanish, Arabic, and French preferred.

  • Full status to work in the United States and willingness to provide employment verification as required.
