The OA is responsible for providing general administrative support to the entire OnPoint Manufacturing office as well as specific support to the president. The OA must be adept at producing high-quality documents (Word, Excel) under tight deadlines; therefore knowledge of Word and Excel is essential. Multitasking and prioritizing workflow are essential to success in this role. The OA should be able to communicate in an articulate manner (written and verbal), and be accustomed to working in a fast-paced environment. Additional responsibilities include, but are not limited to:
- Serve as primary receptionist (answer and direct incoming calls and greeting, directing, and assisting visitors).
- Maintain office filing and recordkeeping systems. Enter, edit, and receive data. Process forms such as expense reports, employee time sheets, deposit forms, online supply orders, etc.
- Handle confidential files and information.
- Organize and schedule meetings and appointments.
- Manage relationships with vendors, ensuring all items are ordered and arrive on time.
- Maintain contacts and calendars.
- Update monthly inventory reports.
- Organize and maintain paper and electronic files.
- Maintaining general office tidiness.
- Make photocopies, send faxes, and shred documents.
- Orient new employees by providing orientation information packets; reviewing company policies; gathering withholding and other payroll information; explaining and obtaining signatures for benefit programs.
- Document human resources actions by completing forms, reports, logs, and records.
- Run errands and perform miscellaneous job-related duties as assigned.
- Provide direct administrative support to president.
Qualifications A successful candidate will be self-motivated, detail-oriented, energetic, and highly organized. Must be a team player and have outstanding writing, editing, and data entry skills. Excellent communication, interpersonal skills, and the ability to prioritize and handle multiple projects are essential. Must be proficient in Microsoft Office. Bachelor’s degree or at least two years of related work experience is required.
