POSITION Payroll Clerk (full-time)

REQUIRED QUALIFICATIONS
- High School diploma or equivalent is required
- Knowledge of administrative and clerical procedures and systems such as work processing, managing files and records, designing forms, and other office procedures and terminology
- Knowledge and principles and procedures for personnel compensation and benefits, labor relations and personnel information
- Develop constructive and cooperative working relationships with others and maintaining them over time
- Excellent oral and verbal communication skills
- Excellent time management skills
- Attention to detail is required
- Willingness and desire to learn new things and apply that learning
PREFERRED QUALIFICATIONS
- An understanding of and a commitment to the philosophy and mission of the two-year college system.
- Ability to handle multiple tasks and various situations in a professional manner.
- A minimum of two (2) years of experience working in payroll accounting, preferred ; or any combination of education, training and experience that demonstrates the knowledge, skills, and abilities commensurate with the requirements of this job.
- A minimum of two years (64 semester hours) of post-secondary education from an accredited institution with a minimum of 24 semester hours in business including a minimum of 6 semester hours in accounting is preferred.
SALARY SCHEDULE PLACEMENT
- Commensurate with education and experience according to State Salary Schedule E.
DUTIES & RESPONSIBILITIES In addition to adhering to the general guidelines as specified by the Faculty/Staff Handbook, the Director of Fiscal Affairs, the Dean for Business and Finance, the President, and Alabama Community College System Board of Trustees, responsibilities will include the following:
- Process monthly payroll using Banner System
- Process monthly payroll deductions checks including, but not limited to, FICA, State Taxes, TRS, PEEHIP, voluntary deductions, garnishments, etc.
- Process and prepare payroll deductions for mailing
- Assist with annual budget preparation for salaries and benefits
- Maintain accurate leave records of all leave types (annual sick, personal, emergency, etc)
- Reconcile and prepare payroll reports such as:
- Federal Tax Form 941
- State of Alabama Employer’s Quarterly Tax Return
- Department of Labor Report Census Report
- TRS (Teachers Retirement System)
- EEOC
- PEEHIP (Public Education Employees Health Insurance Plan)
- Compensated Absences
- Accrued Salaries
- Prepare annual forms: W-2, year-end reports regarding payroll including, but not limited to: Affordable Care Act, Truth in Salary Act, etc.
- Prepare reports and correspondences as requested
- Perform day-to-day administrative tasks such as maintaining accurate information files and processing paperwork
- Assist employees with health insurance, taxes, TRS, voluntary deductions inquiries
- Review time sheets, salary schedules, wage computation, and other information to detect and reconcile payroll discrepancies
- Process paperwork for new employees, and enter employee information into Banner Systems
- Verify attendance, hours worked, and pay adjustments, and post information onto designated records
- Record employee information, such as exemptions, transfers, and resignations, to maintain and update payroll records
- Perform other duties as assigned by the Director of Fiscal Affairs, Dean of Business and Finance, or the President
