Attendance Secretary - Rochester Public Schools - Rochester, MN

Manages all phases of attendance.

Responsible for entering absences into the computer and activities that will create an absence during the school day. Scan attendance sheets, generates attendance report for appropriate administrators and teachers.


Responsible for the computer back-up system. Handles telephone calls regarding attendance and absences and makes decisions on what needs to be done with the information. Takes messages for staff and students.


Responsible for informing the counseling and nurses offices and other staff when a student will be absent for a period of time. Consults with counselors, social workers, and special program teachers when a student is having attendance or disciplinary problems. Receives pre-excused and un-excused notes for absences.


Responsible for contacting parents when students are absent to verify student appointments and if notes are legitimate. Verifies student absences for parents, administrators and contracting parents.


Does word processing and distribution of memos and other communications for the assistant principals and administrative assistants, makes appointments, answers and directs phone calls to appropriate personnel. Maintains the student handbook each year.


Is responsible for the design and revisions, final print, sending to printer, and ordering copies. Maintains and distributes exception to attendance forms.


Receives and supervises students sent to the office for disciplinary problems. Handles suspension forms, truancy petitions, expulsion documents, and correspondence regarding Saturday School.


Manages confidential information on students. Supervises the changes throughout the school year and sends notification to Registration and Records. Responsible for proofreading the student directory each fall and distributing copies to staff.


Qualifications:
Strong human relations skills in dealing with students, parents, teachers, administrators, co-workers and the public.


Computer skills, experience and proficiency with the following programs: Microsoft Word, Excel and Access; experience with Skyward preferred.


Strong telephone skills.


Must have ability to handle frequent interruptions and refocus easily.


Must be able to organize, prioritize, and work independently in a team setting.


Must have completed or be willing to enroll in and complete the Medication Administration Training Course.
