The main purpose of this role is to provide all round support to a dynamic Managing Director and assist in the smooth running of his office.


Main Responsibilities



  • Management of the MD’s complex diary including arranging meetings/ appointments and when needed informing internal/external parties of dietary requirements.




  • Attendance at meetings on request, to support the MD as required




  • Arranges and manages the reception of MD’s visitors, both internal and external. Prepare refreshments for guests when necessary.




  • Arrangement of all meetings, ensuring that catering and conference room facilities are booked in accordance with requirements of the meeting host.




  • Organising travel/accommodation arrangements




  • Management of MD’s expenses.




  • Organisation of events and arrangements for social calendar




  • Take part in the induction of new employees at Head Office, including ensuring completion of all necessary forms.




  • Prepare correspondence and presentations




  • Preparation of speeches as required




  • Responsibility for all documentation leaving the office in connection with the MD




  • Receipt and registration of incoming mail for MD including prioritising and dealing with urgent matters in the MD’s absence.




  • Ensure that all documents, tasks and letters are completed within 24 hours and where necessary by close of play on same day.




  • Take and transcribe minutes of meetings when required – issuing to relevant parties within 24 hours of meeting with agreed action points and chasing management to ensure completion of agreed actions.


    Skills, Knowledge and Qualifications:




  • Experience of managing personal support to a senior member of staff in a private/public sector organisation




  • Touch typing 60+ wpm




  • Experience of minute taking




  • Ability to liaise and communicate effectively at all levels.




  • A flexible attitude will be required from time to time with respect to hours of work in order to accommodate MD’s business and deadline requirements.




  • Intermediate to advanced skills in Microsoft Office




  • Able to work under pressure and meet deadlines




  • Positive, flexible and helpful attitude
