Receptionist/Office Assistant - Club Assist, US LLC - Lake Mary, FL

Purpose
Reception duties and provide general office assistance as the office assistant. Provide additional backup telephone support for Customer Service Department.


Duties and Primary Responsibilities – Provide the primary communication link for all incoming calls and be responsible for all initial contact with staff, clients and customers.


Directs visitors by maintaining employee and department directories; giving instructions.
Maintains security by following procedures; monitoring logbook; issuing visitor badges.
Distributing info to all Club Assist Offices in US, AUS, CAN, EU.
Fax, photocopy and maintain computers/printers/office equipment
Sourcing office supplies and other amenities as needed.
Maintains safe and clean reception area by complying with procedures, rules, and regulations


Works with Human Resources to prepare documents, file, etc. so confidentiality is a must.


Distributes mail


Prepares shipments (UPS)


Helps staff in preparing documents if needed


Stocks kitchen, bathrooms and maintains cleanliness


Monthly cleaning of Refrigerators


Makes service calls if needed


Helps in event planning


Places catering orders


Receives and distributes office supplies and assists in placing orders (Staples, Aramark)


General Kitchen and Office Maintenance


Provide clerical support to Office Manager


Reconcile office expenditures


Provide support North American administrative group


Communication link between West Coast field staff and Club Assist office personnel.


Coordinate travel arrangements when needed


Perform minor clerical tasks to support the departments within the company as needed.


If needed, take meeting minutes and distribute to appropriate stakeholders.


Assist the Office Manager with the coordination of meals, transportation, lodging, equipment and other relevant matters for office meetings and events when needed.


Maintain cleanliness of break room, stock office supplies, maintain the order of the common work area for the office, and ensure that all office equipment is properly functioning.

Job Requirements Skills / Experience / Qualifications Required


Strong Customer Service and Communication Skills,
Previous Reception and/or Customer Service experience. 2+ years
Strong computer skills (MS Office) and MS Excel-must have proficiency in both Excel and Powerpont
Organization skills a must. Attention to details a MUST.
Courier services/shipping experience (UPS preferred)
Multi tasking skills. Ability to prioritize.
Ability to adapt to change.
Strong organizational skills
Ability to prioritize daily tasks
Excellent Reception Skills
