United States of America: Office Coordinator


Reports To: Executive Director


Position Purpose:


This position is primarily responsible for supporting the President, and performing a wide variety of administrative, accounting, and marketing responsibilities to support the organization and daily office operations.


Primary Accountabilities:


Administrative – 50%


· Serve as Executive Assistant to the President, manage schedule, respond to email, set up meetings, arrange travel, and manage expenses. Prepare for meetings and speaking engagements.


· Provide administrative support to the Executive Director.


· Oversee the development and maintenance of filing and records-keeping systems to ensure efficiency and security of organization information.


· Regularly update and disseminate standard operating procedures manuals as-needed.


· Monitor and maintain office supplies inventory.


· Provide administrative support for all Board of Directors meetings. Duties include scheduling meetings, taking minutes and distributing Board materials.


· Coordinate general event logistics, including reservation of venue, catering, invitations, agendas, registration, tracking sponsorships, event evaluation and follow-up.


· Ensure that WCI maintains an attractive, well-organized, and professional working environment to support optimum employee performance and positively present the organization to clients and stakeholders.


Accounting – 25%


· Assist with overall financial processes.


· Process payroll using ADP data entry system on a biweekly basis.


· Serve as point of contact for vendors, ensuring invoices are accurate


· Record and process all payments, donations and deposits.


· Maintain employee files, and expense reimbursements


· Under the Guidance of the Grants and Finance Manager, maintain budget and contract files for government and foundation grants. Also assists with processing and coding program expenses.


Marketing – 25%


· Marketing material development – Email campaigns, annual report, sponsorship forms, and press releases.


· Website management – Update website content and identify areas for website improvement. Initiate the development of new content and strategies to direct and grow traffic to http://www.womenscampaigninternational.org


· Social media strategy – Execute social media strategy and develop guidance for Twitter, Facebook and Instagram under the guidance of the Executive Director. Also responsible for analyzing web traffic and effectiveness of social media profiles.


Desired Qualifications:


· Bachelor’s degree and two years of similar experience.


· Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail.


· Very strong interpersonal skills and the ability to interact with various stakeholders, including organization staff, Board members, external partners and sponsors


· Creative, innovative self-starter with strong communications/interpersonal skills


· Dynamic, highly-resourceful team player who can also be effective independently


· Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms.


· Demonstrated aptitude for information management systems and website development.


· Passion for women’s, empowerment, and the developing world **
