DEPARTMENT: Quality Biologics Network Operations

POSITION SUMMARY


This Sr. Administrative Assistant position will provide timely, accurate and effective administrative support to the Director / Head of Quality Biologics Network Operations and the PTQBN organization.


With minimal direction, the incumbent will be responsible for a wide range of duties as outlined below, with a strong emphasis on organization and proactive coordination of PTQBN activities and projects with a broad reach across PT.


With high attention to detail, plan, coordinate and manage a complex calendar, which includes meetings and events with executive management and global colleagues.


Provides support on development, editing and formatting of management documents, materials and/or executive presentations, gathering information to support the PTQBN Leadership Team meetings.


RESPONSIBILITIES:


• Coordinate and Manage day to day operations for the PTQBN department including calendar management, travel arrangements, expense management, schedule and coordinate teleconferences, meetings, off-sites and special events, coordinate travel arrangements, process payments and expense reports, utilize MS office and Google applications at advanced level and all other administrative support.


• Proactively manage and make independent decisions regarding priorities of multiple calendars; plan, schedule and coordinate teleconference and video conferences.


• Manage calendar for PTQBN Director in complex global environment. Make independent decisions regarding priorities to reduce conflicts and accommodate high priority commitments. Interface globally to arrange and manage appointments.


• Plan and coordinate global travel, arrange and follow through with onsite/offsite meetings including large department or senior leadership meetings, working with outside vendors; creating contracts and purchase orders, and process payment and expense reports.


• Proactively gather information and prepare documents for upcoming PTQBN meetings.


• Manage meetings including scheduling, handle all logistics (room set up, catering if needed, agenda, AV/technology requirements, handouts, etc.), including coordination of content for PTQBN meetings/activities, including offsite meetings, manager webcasts, and All Hands.


• Functions as part of a team to provide continuity of support for global demands of PTQBN members and, as needed.


• Serve as the “go-to-person” for general operational or administrative questions or other inquiries. Provide general information for the organization.


• Plan, coordinate and arrange domestic and international travel.


• Maintain department website and Share-folder. Maintain and organize files.


• Prepare edit correspondence, reports and presentations. Maintain organization charts and other department documents and presentations. Independently create presentations with general direction.


• Exercise independent judgment and discretion with


sensitive/confidential and proprietary information.


• Partner with the other administrative support and other staff to maximize


the efficiency of the work group.


• Lead special projects.


• Coordinate and manage on-boarding of new employees and office moves.

Who You Are
QUALIFICATIONS


• 4 years previous experience supporting a senior /executive leader. BA/BS degree recommended.


• Proven ability to work independently, highly organized and effective in handling multi- detail-oriented projects in fast paced environment.


• Strong communication and interpersonal skills; a team player.


• Ability to interact with all employees within the organization, including senior leaders and respond to the needs of the business.


• Ability to independently resolve issues through the use of available resources.


• Must demonstrate outstanding computer skills and specific proficiencies with MS Office (Word, Excel, FileMaker Pro and PowerPoint) and Google calendar and mail.


• Ability to communicate (verbal and written form) in German a plus.


• Attentive to cultural sensitivities; previous work in a global environment a plus.
