GENERAL SUMMARY
The Human Resources (HR) Receptionist is the first point of contact with customers and visitors to the office. The position performs various office support functions, greets visitors to the office, answers telephones, transfers calls, and answers routine questions. Additionally, the Receptionist may assist with clerical duties such as filing, typing, ordering office supplies, and performing other special projects as requested.


DISTINGUISHING FEATURES OF THE CLASS
This position is located in the Ada County Department of Administration, the department responsible for the county’s human resources, risk management and procurement services.


The incumbent in this position performs a broad mix of key clerical functions that are recurring in nature, but also requires a human resources aptitude, to assist in fielding employee questions and providing entry level HR support to the department.


ESSENTIAL FUNCTIONS


  • Greets and directs visitors to the appropriate staff member, department or office;

  • Operates telephone, screens and routes calls, and takes messages;

  • Provides information to the public and employees regarding county services, programs, and procedures;

  • Helps visitors with basic HR related inquiries and job application process questions;

  • Accepts deliveries from vendors;

  • Receives bids;

  • Checks out plans and specifications to contractors;

  • Creates receipts for monies received;

  • Sorts and distributes mail;

  • Orders department office supplies and maintains supply inventory;

  • Composes and types correspondence, reports and records;

  • Helps with distribution of employee service award information and materials;

  • Reconciles petty cash;

  • Generates reports and labels;

  • Schedules meetings and conference rooms, assists with meeting set up and clean-up, and posts meeting agendas;

  • Performs daily opening and closing of office tasks;

  • Creates purchase requisitions and payment vouchers;

  • Assists with maintaining training database.

ADDITIONAL FUNCTIONS


  • Accepts and reviews I-9 employment eligibility verification forms;

  • Takes employee photographs for ID badges;

  • Compiles informational binders for New Employee Orientation (NEO);

  • Assists with posting job openings;

  • Monitors and escorts visitors per security requirements;

  • Performs related functions as required.

JOB REQUIREMENTS


  • High school diploma or equivalent;

  • Must have previous experience in a receptionist role;

  • Previous experience in an HR environment strongly preferred;

  • Knowledge of telephone etiquette;

  • Knowledge of English grammar and spelling;

  • Knowledge of office practices, procedures and equipment;

  • Skill in communicating effectively with culturally diverse populations;

  • Skill in the use of a personal computer with MS Office software;

  • Ability to maintain confidentiality;

  • Ability to type documents and correspondence at 45 words per minute or better with accuracy;

  • Ability to review and proofread documents for accuracy and completeness;

  • Ability to establish and maintain effective working relationships with co-workers, managers and the general public;

  • Ability to work as a member of a team to accomplish division and department goals.

WORK ENVIRONMENT AND PHYSICAL DEMANDS


  • Work is performed primarily in an office environment and the employee in this class is subject to inside environmental conditions;

  • May be required to lift up to 20 pounds;

  • Requires sufficient personal mobility and physical reflexes, which permits the employee to function in a general office environment to accomplish tasks.
